Privacy Policy

Sherway Immigration ("Sherway," "we," "us," or "our") is a Canadian immigration consultancy regulated by the College of Immigration and Citizenship Consultants (CICC). This policy explains what personal information we collect, why, how we use and protect it, and the choices you have — consistent with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the privacy principles it's built on.

Who we are

What we collect

Depending on how you reach out, we may collect:

  • Contact details — your name, email address, and phone number.
  • Immigration background you choose to share — your immigration goals, current status, country of citizenship, and answers to our online eligibility checkers.
  • Documents you send us — a resume/CV, or other supporting documents you choose to provide ahead of a consultation.
  • Communications — messages sent by email, WhatsApp, or through our website, and, if you call our office, a recording and transcript of that call.
  • Payment confirmation details for the consultation fee.

We only ask for what a licensed consultant actually needs to understand your situation and prepare for a consultation — nothing here is used to make an immigration decision on its own.

How we use it

  • To respond to your enquiry and understand what you need help with.
  • To prepare for and deliver your consultation with a licensed RCIC.
  • To manage your file if you go on to retain our services.
  • To meet our own regulatory record-keeping obligations as a CICC-licensed firm.

We do not sell your personal information, and we do not use it for advertising unrelated to Sherway's own services.

Where AI tools fit in — and where they don't

We use software, including AI-assisted tools, to help our team work efficiently — for example, summarizing an enquiry into internal notes, or transcribing a phone call so nothing is missed. These tools support our staff; they do not replace them. No eligibility assessment, immigration advice, or decision about your case is ever made by software — only by Mustafa Backer, RCIC, or another licensed member of our team.

Who we share it with

We work with a small number of service providers to run our practice and our website. Some of them are based in, or store data in, the United States — which means your information may be subject to US law while it's in their systems, the same disclosure you'll see on our consent checkboxes. These include providers for:

  • Client relationship management (storing your contact record and case notes).
  • Website hosting and our secure database.
  • Internal team communication (limited to your name and which file it concerns — never the details of what was said).
  • Phone and AI-assisted call handling, if you reach us by phone.
  • AI-assisted drafting and summarization tools used internally by our team.

If you retain us, your application materials will naturally be submitted to the relevant government departments, agencies, courts, or tribunals your case requires — IRCC, a provincial nominee program, or others — as part of the service itself. Beyond that, we do not share your personal information with anyone outside our service providers except where the law requires it or with your consent.

Marketing communications

If you've checked the box agreeing to receive updates from us by SMS or email, we may send you information about your enquiry and, occasionally, about Sherway's own services. You can withdraw that consent at any time — just tell us, or use the unsubscribe link in any email.

How long we keep it

We keep your information for as long as it's needed for the purpose we collected it — typically the length of our relationship with you, plus whatever retention period our regulatory obligations as a CICC-licensed firm require afterward. If you never proceed past an initial enquiry, we keep only what's reasonably needed to respond to you and meet those same obligations.

Your choices and rights

  • You can ask what personal information we hold about you.
  • You can ask us to correct information that's inaccurate or out of date.
  • You can withdraw consent at any time — for marketing communications immediately, and for other uses subject to legal or contractual limits (for example, once you've retained us for an active application).

Security

We use reasonable technical and organizational safeguards to protect your information — encrypted connections, access limited to staff who need it to do their job, and vendor agreements with our service providers. No system is perfectly secure, and we ask you not to send highly sensitive documents (like a full passport scan) over unencrypted channels such as plain email where a more secure option is available.

Cookies

This site uses only essential cookies and similar local storage — the kind needed to keep the site working properly (for example, remembering that you've already seen our cookie notice). We don't currently use advertising or cross-site tracking cookies. If that ever changes, this section will say so and you'll see an updated notice.

Changes to this policy

We may update this policy from time to time — for example, as our tools or service providers change. The "last updated" date at the top will always reflect the current version.
